Taking over sites where standards have slipped
A lot of commercial sites are not starting from a clean slate. We are regularly asked to take over systems where servicing has been inconsistent, records are incomplete and plant condition has been allowed to drift.
The pattern is familiar: nobody can produce an asset list, F-Gas logs stop several years ago, half the indoor units have never had a proper coil clean, and service sheets say “serviced” with no readings behind them. Plant then fails in the first hot spell and everything becomes an emergency.
We start with a survey, list what is actually installed and grade the condition. From there it is ordinary, uneventful maintenance with reactive cover behind it — which is the point.
1.Asset identification
Walk the site and list what is actually installed — location, make, model, serial, refrigerant type and charge. Most takeovers start with no usable asset list at all.
2.Condition review
Coils, filters, fans, drains, electrical connections and running readings, plus the obvious defects that have been noted and never quoted.
3.F-Gas records and service history
Check what leak checks have been done, when, and against what charge. Where records stop, we rebuild them from the plant rather than from the last contractor's paperwork.
4.Maintenance priorities
What needs doing now, what can wait, and what is close to end of life. Written down with costs, so it can be budgeted instead of firefighted.
5.Planned maintenance and reactive backup
A visit schedule that fits how the building runs, reporting after every visit, and reactive attendance behind it.

Guest rooms, public areas, restaurants, kitchens, conference space and back-of-house all put different demands on the same plant. The constraint is rarely the engineering — it is occupancy, trading hours, noise and access to rooms that are sold.
We plan visits around the hotel's operation, work out of hours where a space cannot be handed over, and keep the refrigeration side of the building on the same contract as the air conditioning.
